Not on Gmail or Microsoft? Forward it in.
Three providers connect directly. Everything else — a hosted company mailbox, Yahoo, iCloud, AOL, BT or an address you have had for twenty years — forwards in and is treated as its own mailbox, attributed to the right identity.
On another email system? Just forward it in.
Three connect directly: Gmail and Google Workspace, Microsoft 365, and personal Outlook.com / Hotmail. If your work mail is already on Google Workspace or Microsoft 365, just connect it — no forwarding needed. Anything else — a hosted company mailbox, Yahoo, iCloud, AOL, BT or an old provider — you forward into one of the three and add the address as an alias. EmailOwl then treats it asits own mailbox: filtered separately, labelled with the address it arrived at, so you always know which identity a message belongs to.
Point that address at a mailbox EmailOwl handles
Set forwarding on the mailbox — work domain, Yahoo, iCloud, BT, anything that can forward — to your Microsoft 365 or Gmail account. No migration, no IT change, nothing to install on the old provider.
Tell EmailOwl the address it really arrived at
Add that address in EmailOwl as an alias of the mailbox. Forwarded mail is then attributed to the original address, not to the inbox it happened to land in.
Every task shows which mailbox it came from
Your board can be filtered by mailbox, and each item carries the address it arrived at — so you can see your work load on its own. Replying from the alias is coming; today replies go out from the mailbox it landed in.
If your IT team blocks auto-forwarding — Microsoft 365 blocks it by default, and Google Workspace admins can switch it off — forwarding isn’t your route. Two things still work: if the account is on Google Workspace or Microsoft 365, connect it directly — though access there is subject to your organisation’s admin policy too — or ask them to allow forwarding for your mailbox specifically. We’d rather say this up front than have you discover it at setup.
Two practical notes. Set forwarding up at your provider — a rule that re-sends every message, not forwarding individual emails by hand, which arrives as a new message from you and can’t be attributed. And forwarding only brings in mail sent after you switch it on: EmailOwl reads roughly the last month when you connect, so anything older stays where it is.
Business and personal. One calm view.
Three connect directly: Gmail and Google Workspace, Microsoft 365, and personal Outlook.com / Hotmail / Live — work accounts and personal ones side by side. Everything else you forward into one of those and add as an alias, so it’s triaged too. EmailOwl reads them together and shows you one picture of your day, with every item labelled with the address it actually arrived at.
Mix as many as you like — a work 365 account, two personal Hotmails and an old Yahoo forwarded in is a normal setup. More direct connections coming.
